Finding your first AI quick wins.
You don't need a big AI project to see results. You need two or three well-chosen tasks that save time every single week. Here's how to find them.
Start with a time audit.
For one week, ask everyone to jot down the tasks that eat into their day. A note on their phone is fine. By Friday you'll have a list of the jobs that keep coming round, and that's where your quick wins are hiding.
What a quick win looks like.
Frequent
It happens every day or every week, not once a quarter
Predictable
It follows roughly the same steps each time
Text-heavy
It involves reading, writing or summarising
Easy to check
Someone can review the result in a minute or two
Low risk
It doesn't depend on sensitive client or staff details
Unloved
Nobody would miss doing it by hand
Score and shortlist.
Give each task a score out of five for the time it takes and another for how easy it is to check. Multiply the two. Anything scoring 15 or more makes the shortlist. Pick your top three and park the rest for later.
Three steps to test it.
Write the prompt
Describe the task, the tone and an example of a good result
Run it for two weeks
Use it on real jobs, with the person who knows the task checking every output
Measure the difference
Compare the time taken before and after, and note any fixes you had to make
Common first wins.
Replies to routine enquiries, weekly reports, quotes from a standard price list, meeting summaries and social posts about finished jobs. For a tradie that might be quoting. For an accounting firm it's often client emails.
Keep it safe.
Before you start, check your AI policy covers the information involved. If a task needs client or staff details, use a business-grade tool with the right privacy settings.
